Privacy and confidentiality notice

This notice explains how Counselling Wellnessz collects, uses, stores and protects personal information when you enquire about or receive our services.

Confidential care: Counselling information is treated as sensitive and confidential. Confidentiality has legal, ethical and safety-related limits, which are explained below and in your consent form.

1. Information we collect

We may collect your name, age or date of birth, contact details, emergency-contact details, appointment and payment information, counselling history, health and wellbeing information, session notes, consent choices, communications and information you choose to provide during care. For a child or adolescent, we may also collect parent or legal-guardian information and evidence of authority to consent.

Paystack processes payment-card and banking details on its own systems. Counselling Wellnessz does not ask you to provide card PINs, passwords or one-time passwords.

2. How we use your information

We use information to respond to enquiries, assess whether our services are suitable, arrange and deliver counselling, maintain clinical and administrative records, process and reconcile payments, communicate about appointments, protect safety, meet professional and legal duties, handle concerns, and improve our services using appropriately de-identified information where possible.

3. Our basis for processing

Depending on the circumstances, we process information with your consent, to provide services you request, to meet legal or professional obligations, to protect vital interests in an emergency, or for legitimate administrative and security purposes. Health and counselling information receives additional protection as sensitive personal data.

4. Confidentiality and when information may be shared

We do not sell your clinical information. We may share only what is reasonably necessary with trusted service providers supporting secure communications, scheduling, payment or record storage; with supervisors or other professionals for care and quality purposes using de-identification where practicable; where you authorise disclosure; or where disclosure is required or permitted by law.

Confidentiality may be limited where there is a serious concern about harm to you or another person, suspected abuse or neglect of a child or vulnerable person, a medical emergency, a valid court or regulatory requirement, or another safeguarding duty. Where safe and lawful, we will discuss such action with you.

5. Storage, security and retention

We use reasonable organisational and technical safeguards, including restricted access and password-protected systems. No electronic system can be guaranteed completely secure. Records are kept only for as long as required for care, legal, insurance, safeguarding and professional purposes, then securely deleted or destroyed.

6. Online services and communications

Online counselling and email or messaging carry privacy risks, including device access, interception and disruptions. Please use a private space, protect your device and avoid sending detailed clinical information through social media, ordinary payment forms or public channels.

7. Children and adolescents

We normally require consent from a parent or legal guardian before providing services to a minor, while also seeking the young person’s age-appropriate assent. We explain privacy boundaries to both the young person and guardian, subject to safety and legal requirements.

8. Your choices and rights

Subject to applicable law, you may ask to access or correct your personal data, object to or restrict certain processing, withdraw consent where consent is the basis, request deletion where appropriate, ask about data portability, or complain about how your information is handled. Some records may need to be retained despite a request because of legal, safety or professional obligations.

9. Cross-border and third-party services

Some technology providers may process information outside Nigeria. We take reasonable steps to select appropriate providers and safeguards. Third-party services, including Paystack, operate under their own privacy notices.

10. Updates to this notice

We may update this notice when our services, technology or legal obligations change. The current version and effective date will be published on this page.
